TERMS & CONDITIONS — JCI BELGIAN DELEGATION 2026
INTRODUCTION
When you (the “Participant”) purchase a ticket for the Belgian Delegation (the “Belgian Pack”, optionally supplemented by a pre-tour in Seville), you enter into an agreement with the organisers operating under the name JCI Houtbrugge — a cooperation between JCI Houtland (BE 0413.995.802) and JCI Brugge (BE 0408.654.169). While the organisation of the Belgian Delegation is a joint effort of JCI Houtland and JCI Brugge, the actual purchase and financial transaction is handled exclusively by JCI Houtland, as the account holder for the organiser.
These Terms and Conditions apply between you and the organiser. They govern purchase, attendance, changes and cancellations for the Belgian Delegation and related services sold by the organiser via jciec2026.be (or any official booking channels referenced by the organiser). By completing your booking you confirm that you have read, understood and accept these Terms.
1. DEFINITIONS
- “Event”: the Belgian Pack of the EC in Malaga , possible with pre-tour, and any scheduled activities, social programme, conference sessions and other associated services.
- “Organiser / JCI Houtbrugge / we / us”: JCI Houtbrugge (the cooperation of JCI Houtland and JCI Brugge) when acting as seller of the package.
- “Supplier”: any third party (including the European Conference organisers, hotels, transport companies, excursion operators and ticketing platforms) that provides goods or services included in the packages.
- “Participant”: the person who purchases or uses the ticket or package.
2. BOOKING & PAYMENT
- Bookings made through the webshop on jciec2026.be must be paid at the time of purchase using the payment methods offered in the webshop.
- Booking outside the webshop is only possible after prior written agreement with the organiser (contact: info@jciec2026.be).
- If payment is not received within 30 calendar days after the purchase/booking, the booking will be declared null and void and the seat/ticket may be released to others.
- All prices and invoices are in Euros unless otherwise stated.
- NO VAT applies to the prices shown for these packages.
3. INSURANCE
- Travel and medical insurance are NOT included in the packages. Every Participant must arrange their own travel insurance to cover cancellation, medical expenses, repatriation, personal accident, baggage and any personal liabilities.
- Participants from EU countries are strongly advised to bring a valid European Health Insurance Card (EHIC/GHIC) where applicable; this is not provided by the organiser.
- The Participant attends the Event entirely at their own risk. The organiser is not liable for loss, theft or damage to property, or for personal injury or illness, except to the extent caused by our proven negligence.
4. LIABILITY & RESPONSIBILITY
- The organiser will exercise reasonable care in selecting third-party Suppliers, but cannot accept liability for the acts or omissions of Suppliers (including the European Conference organisers, transport companies and hotels).
- The organiser is not liable for (i) any travel to or from the Event (including delays, cancellations and additional costs), (ii) personal property left unattended, or (iii) any loss or damage caused by circumstances beyond the organiser’s direct control, except as required by mandatory law.
- To the maximum extent permitted by law, the organiser’s aggregate liability to a Participant for any claim arising out of or in connection with these Terms is limited to the amount actually paid by the Participant for the relevant package or ticket.
5. CANCELLATION BY PARTICIPANT / REFUNDS
- You may cancel your registration in writing (email to info@jciec2026.be) up to and including 15 December 2024. A €50 administration fee will be retained from any refund.
- If you cancel after that date, no refund is guaranteed.
6. RESALE / TRANSFER OF TICKETS
- Resale/transfer of purchased packages (pre-tour and Belgian Pack) is allowed subject to an administrative charge of €50 per person.
- After 15 March some activity tickets or Supplier-provided entries may no longer be transferable; in such cases the new person may be denied access to those specific activities. If you need clarity about transfers after that date contact the organiser immediately.
- Transferability of the underlying conference ticket (the official European Conference ticket sold via the EC Malaga site or other conference channels) depends entirely on the conference organiser’s rules and is outside our control.
7. PURCHASES ON BEHALF OF ANOTHER PERSON
- If you buy a ticket or package for another person you represent and warrant that you are authorised to do so, that you may lawfully provide the other person’s personal data for registration, and that the Participant will comply with these Terms.
- You accept responsibility for ensuring the Participant receives these Terms, and you indemnify the organiser for any loss or liability caused by the Participant’s breach of these Terms.
8. PROGRAM CHANGES
- The organiser has made reasonable efforts to prepare the programme but reserves the right to modify or cancel the programme or any element thereof for justified reasons or in case of force majeure. Force majeure includes, without limitation, any cause beyond JCI’s reasonable control such as acts of God, pandemics or epidemics, government measures, strikes, riots, war, terrorism, natural disasters, failure of Suppliers or transport disruptions.
- In such circumstances the organiser may, at its option, suspend performance of its obligations or cancel the agreement without judicial intervention. Participants will be informed as soon as reasonably possible. If the programme is cancelled for these reasons, any amounts already paid by Participants will be refunded to the extent that the organiser is reimbursed by Suppliers; refunds will be made as soon as reasonably practicable. If Suppliers do not reimburse the organiser in full, refunds to Participants may be partial.
- In case of force majeure a Participant may not claim compensation, damages or further restitution from the organiser, unless mandatory law or the circumstances make such refusal manifestly unreasonable by standards of fairness.
9. PHOTO, AUDIO & VIDEO RECORDING
- Audio, photo and video recordings may be made during the Event and Participants may appear in recordings. By attending, Participants explicitly consent to the capture and use (including reproduction and distribution) of their image, voice and likeness by the organiser and its agents for promotional, reporting and archival purposes in any media for an indefinite period.
- The organiser will endeavour to ensure Participants are portrayed appropriately. No royalties or other compensation will be payable to Participants for such use. The organiser will not sell photographs or recordings for third-party commercial exploitation.
10. PERSONAL DATA & PRIVACY
- Personal data provided during booking is used to perform the contract and for administrative and communication purposes connected to the Event (booking administration, tickets, badges, hotel allocation, emergency contact, on-site lists, correspondence ect).
- Personal data that will appear on badges, attendance and participant lists (for example: name and any affiliation or room allocation) will be possible visible to other Participants and Event staff; by registering you consent to this disclosure. The organiser will use the Participant’s email address for Event correspondence.
- Participants have rights of access, rectification, erasure, restriction, objection and data portability; to exercise these rights contact the organiser at info@jciec2026.be.
11. HEALTH, SAFETY & BEHAVIOUR — CODE OF CONDUCT
- Participants must comply with local laws, venue rules and safety instructions at all times. The organiser reserves the right to refuse admission, or to remove any person whose behaviour is unlawful, unsafe or disruptive, without refund.
- SERIOUS MISCONDUCT: If a Participant behaves in a manner that is unlawful, hazardous, violent, abusive, discriminatory, or otherwise in material breach of the Code of Conduct or these Terms, the organiser may immediately remove that person from the Event and premises WITHOUT REFUND. The removed Participant remains responsible for any losses or damages caused by their conduct; the organiser reserves the right to seek reimbursement or damages.
- It is the Participant’s responsibility to inform the organiser in advance of any medical conditions, dietary requirements or mobility limitations that may affect participation.
- Infectious disease policy: the organiser may implement measures for health and safety (testing, vaccination, isolation) if required by law or by venue/Supplier; failure to comply may result in denied entry or removal without refund.
12. WEBSITE ACCURACY / ERRORS
- The Event website and promotional material have been prepared with care. However, the organiser accepts no liability for typographical, clerical or pictorial errors, or for inaccuracies in price or programme information. Obvious errors may be corrected without prior notice; no rights can be derived from incorrect pricing or content.
13. COMPLAINTS & CONTACT
- Any complaint concerning the Event must be raised promptly in writing to the organiser (info@jciec2026.be) so that the organiser may investigate and, where appropriate, remedy the issue.
14. SEVERABILITY, ASSIGNMENT & ENTIRE AGREEMENT
- If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions will continue in full force.
- The organiser may assign or subcontract rights and obligations to Suppliers or third parties. Participants may not assign their booking without the organiser’s prior written consent (subject to the transfer rules in clause 6).
- These Terms constitute the entire agreement between the parties in relation to the Event.
15. GOVERNING LAW & JURISDICTION
- These Terms are governed by Belgian law. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the Belgian courts, unless mandatory law provides otherwise.
16. ACCEPTANCE
- By completing a booking you confirm that you have read and accept these Terms & Conditions in full.
